Handling of Applicant Data

We offer you the opportunity to apply to us (for example, by email, post, or via an online application form). Below we inform you about the scope, purpose, and use of your personal data collected during the application process. We assure you that the collection, processing, and use of your data are carried out in accordance with applicable data protection law (in particular under German law) and all other legal provisions, and that your data is treated with strict confidentiality.

Scope and Purpose of Data Collection

When you send us an application, we process the related personal data (e.g. contact and communication details, application documents, notes from interviews, etc.) insofar as this is necessary to decide on the establishment of an employment relationship. The legal basis for this is § 26 BDSG-neu (initiation of an employment relationship under German law), Art. 6 (1) (b) DSGVO, and – where consent has been given – Art. 6 (1) (a) DSGVO. Consent may be withdrawn at any time. Your personal data will be shared within our company only with persons involved in handling your application.

If the application is successful, the data you have submitted will be stored in our data processing systems for the purpose of implementing the employment relationship, based on § 26 BDSG-neu and Art. 6 (1) (b) DSGVO.

Data Retention Period

If we are unable to offer you a position, if you decline an offer, or if you withdraw your application, we reserve the right to retain the data you have provided for up to six months after the conclusion of the application process (rejection or withdrawal), based on our legitimate interests (Art. 6 (1) (f) DSGVO). After that, the data will be deleted and any physical application documents destroyed. Retention serves, in particular, as evidence in the event of a legal dispute. If it is foreseeable that the data will still be required after the six-month period (e.g. due to a potential or ongoing legal dispute), deletion will take place only once the purpose for further retention no longer applies.

Longer retention may also occur if you have given consent (Art. 6 (1) (a) DSGVO) or if statutory retention obligations prevent deletion.

Inclusion in the Applicant Pool

If we are unable to offer you a position, we may ask to include you in our applicant pool. In that case, all documents and information from your application will be stored in the applicant pool in order to contact you should a suitable vacancy arise.

Inclusion in the applicant pool is based solely on your explicit consent (Art. 6 (1) (a) DSGVO). Providing consent is voluntary and not connected to the ongoing application process. You may withdraw your consent at any time. In that case, your data will be permanently deleted from the applicant pool, unless legal obligations require retention.

Data stored in the applicant pool will be permanently deleted no later than two years after consent has been granted.
